SportZync

Draft — under legal review

This document is not final. It is an honest first draft written from what the product actually does, but it has not been reviewed by a lawyer and is not yet a binding legal instrument.

What we collect and why

A straight answer to three questions: what does SportZync know about you, why does it need that, and who else can see it.

Written in English. A Swedish translation is pending legal review. If the two versions ever disagree, the reviewed Swedish version will govern for users in Sweden.

Read this first

SportZync only works if it knows a lot about you. That is the deal, and you should understand it before you fill the app with your training, your injuries, and how you feel.

Three things worth knowing before anything else:

  • Your Zync coach conversations are yours alone. Your coach cannot read them. Neither can your parents. That is the point of having them.
  • Your medical history is not visible to your coach. Injuries are — because coaching you safely depends on it — but past surgeries, conditions, allergies, treatments, and lab results are for you and your parents only.
  • Almost everything else in a career is shared with your team. Your rounds, matches, training, calendar, and your daily check-ins can be seen by the coaches and parents in that career. Check-ins surprise people most often, so we are saying it twice.

We do not sell your data. There are no ads in SportZync and no advertising trackers. We do not know where you are — the app never asks for your location.

The full list

Everything SportZync stores about you, why it stores it, and who can see it.

Your name and email address

Why

So you can sign in, so we can email you about your account, and so your teammates know who you are.

Who can see it

Your team

You, and anyone in a career with you sees your name.

Your profile: date of birth, gender, nationality, height, weight, sport, goals, handicap or ranking

Why

To set up your career properly and compare your numbers against sensible reference points for someone like you.

Who can see it

Your team

You, your coaches, and your parents.

Golf rounds: every hole, every shot, the club you used, distances, lies, and penalties

Why

This is the raw material. Without shot-level detail we cannot tell you where you actually lose strokes.

Who can see it

Your team

You, your coaches, and your parents.

Tennis and padel matches: scores, surface, conditions, opponents, and your own analysis

Why

Same reason — to spot patterns across matches instead of relying on how the last one felt.

Who can see it

Your team

You, your coaches, and your parents.

Training: sessions, how hard they felt, workout programmes, and what you actually completed

Why

To track your training load over time, so we can tell you when you are ramping up too fast.

Who can see it

Your team

You, your coaches, and your parents.

Physical tests and measurements

Why

To show whether the training is making you faster, stronger, or more mobile — rather than guessing.

Who can see it

Your team

You, your coaches, and your parents.

Daily check-ins: how you feel, plus energy, focus, stress, and motivation, with any note you write

Why

Because how you feel explains a lot of what your performance data does. It also helps spot burnout early.

Who can see it

Your team

You, your coaches, and your parents. Please read this row twice — a check-in is not private to you. If you want to say something privately, use the Zync coach instead.

Injuries: the body part, how bad it is, whether it is active, and the spot you marked on the body map

Why

So your training can be planned around an injury instead of into it, and so the AI coach stops suggesting things that would hurt.

Who can see it

Your team

You, your coaches, and your parents. Coaches need this to coach you safely.

Medical history: past surgeries, conditions, allergies, treatments, lab results, and documents you upload

Why

To give context that explains recurring problems — an old operation, an allergy, a condition you manage.

Who can see it

You and your parent

You and your parents only. Your coach cannot see any of this, even a coach who can see your injuries. This is enforced by the software.

Your season plan, calendar, and events

Why

So training, travel, competitions, school, and rest can be planned in one place.

Who can see it

Your team

You, your coaches, and your parents.

Team chat messages

Why

So you can talk to your coach and team inside the app.

Who can see it

People in the chat

The people in that specific conversation.

Your conversations with the Zync coach, and the things it remembers about you

Why

So the coach knows your situation and does not make you repeat yourself every time.

Who can see it

Only you

Only you. Not your coach, not your parents. This is checked on every single request, and nothing from these conversations is ever put in an email.

Nutrition log, if you use it

Why

To connect what you eat with how you felt and performed. Entirely optional.

Who can see it

Your team

You, your coaches, and your parents.

Your timezone

Why

So events show at the right local time and reminder emails do not arrive at 3am.

Who can see it

Us and our providers

Nobody sees this directly; it just makes times correct.

How you use the app: pages you open, things you click, and technical details including your IP address and browser

Why

To find bugs and understand which features are worth keeping. This goes to our analytics and error-monitoring providers.

Who can see it

Us and our providers

Us and those providers. It is never used for advertising and never sold.

Payment details, if you subscribe

Why

To take payment for a paid tier.

Who can see it

Us and our providers

Our payment provider handles these. We never see your card number.

Who is on your team, and what their role means

A career can include three kinds of people, and what each can see is decided by their role plus any permissions set for them in the career.

  • The athlete — you. You can see everything in your own career, and you are the only one who can see your Zync conversations.
  • Coaches — see your performance, training, planning, and injuries, and your daily check-ins. They cannot see your medical history or your Zync conversations.
  • Parents — see what coaches see, plus your medical history. They cannot see your Zync conversations. Parents can view medical records but not change them.

One adult member can be the payer. Paying lets them change member roles and hand the payer role on. It does not open your medical history or your Zync conversations, and it does not let them delete your career: only you can, or your parent while you are under 18.

You decide who joins. Nobody can see your data because they know your name — they have to be invited into your career.

Where your data goes outside SportZync

We use other companies to run the app. The full list, with what each one receives, is in the privacy policy. The short version:

  • Your data is stored with our database and hosting providers — Supabase, Railway, and Vercel.
  • When you use an AI feature, the relevant data is sent to an AI provider to generate the answer. Zync conversations go to Anthropic (and to Google if Anthropic is unavailable). Other AI analysis goes to Google.
  • Emails are sent through Resend. Nothing from your Zync conversations is ever included in an email.
  • Anonymous-ish usage analytics and crash reports go to PostHog and Sentry. These include your IP address and browser — that is normal for these tools, but you deserve to know it.
  • Payments are handled by Stripe.

Your medical history, treatments, lab results, and uploaded medical documents are not sent to any AI provider. Neither are your injury notes. The AI coach is told only the body region, how severe it is, and whether it is active.

If you are a parent reading this

SportZync is used by junior athletes, and we designed the sharing rules with that in mind.

  • If your child is under 13, you need to set up and approve the account. Swedish law sets the age for consenting to online services at 13.
  • Join the career as a parent. You will see training, competition, planning, injuries, check-ins, and medical history.
  • You will not see your child’s conversations with the Zync coach. This is deliberate. A private place to think out loud is worth more to a young athlete than another monitored channel, and the coach is built to encourage speaking to a real adult when something matters.
  • The app records injuries and mood. It does not diagnose anything and it is not medical advice — for any real concern, see a doctor or physiotherapist.

What you can do about it

  • Leave it blank. Injuries, medical history, and check-ins are all optional. The app works without them.
  • Delete it. You can delete individual records at any time.
  • Remove someone. Anyone who manages the career with you can remove a member, and their access ends.
  • Stop the emails. Every notification email has an unsubscribe link.
  • Delete your account. In Settings. You need to leave or hand over your careers first, because they are shared with other people — contact us if that gets complicated.
  • Ask us anything. Including for a copy of everything we hold about you. There is no self-service download button yet, so today that is a manual request to info@sportzync.se.

If you think we have got something wrong and we do not fix it, you can complain to Integritetsskyddsmyndigheten (IMY), the Swedish privacy authority, at imy.se.
